Drupal access is limited to ODU.edu websites, and not all access requests will be approved. Access is granted based on your role, departmental need, and authorization from leadership to manage website content.
If Drupal access is not granted, Siteimprove access may be available as an alternative for viewing website content and identifying content or accessibility needs.
Drupal Responsibilities
To receive Drupal access, you must complete the University's required training. This process ensures content editors understand web accessibility requirements, university content standards, and the tools used to maintain ODU websites.
Each office, department, college, or school is responsible for keeping its ODU websites accurate, current, and accessible. To support this responsibility, every area must designate:
- One Content Owner who oversees the unit's web presence and ensures website content remains accurate and up to date.
- At least one Content Editor who creates, edits, and maintains content in Drupal while following university web standards and accessibility requirements.
Drupal access is granted only after the required training has been completed.
Content Management Roles
The Content Owner is responsible for the overall accuracy and governance of a unit's website. This role is best suited for individuals who have decision-making authority over their office's web content but do not necessarily create or edit content in Drupal.
Every department, office, college, or school must have one designated Content Owner.
This role is right for you if you:
- Are responsible for ensuring your unit's website content is accurate and up to date.
- Oversee or coordinate website content across your office or department.
- Approve content changes submitted by Content Editors.
- Approve or deny Drupal access requests for your unit.
- Ensure your unit has enough trained Content Editors to maintain the website.
- Communicate website updates, standards, and expectations within your unit.
Note: Content Owners are not required to use Drupal. This role focuses on oversight and approval rather than editing website content.
The Content Editor is the primary person responsible for creating, updating, and maintaining website content within their assigned Drupal group(s). This role is best suited for individuals who regularly manage their unit’s web content and need direct access to make updates in Drupal.
Content Editors must complete the required Drupal training before receiving access.
This role is right for you if you:
- Regularly update and maintain your unit’s website content.
- Need to edit and publish existing pages in Drupal.
- Are responsible for ensuring content follows university web standards and accessibility requirements.
Content Editors can:
- View, edit, and publish updates to existing basic pages.
- Move basic pages between Draft, Needs Review, and Published states.
- Publish updates to existing pages without additional approval.
- Access files in the Media Library (files cannot be added or deleted).
Content Editors cannot:
- Create new pages.
- Modify page tags.
- Edit directory pages.
- Edit navigation menus.
- Edit Landing Pages.
These actions require coordination with the Campus Web Team.
The Event Editor role is responsible for creating, managing, and maintaining event listings within Drupal. This role is best suited for individuals who manage events for their office, department, or unit and need the ability to update calendar content.
The Event Editor role may be assigned independently or combined with another Drupal role, such as Content Editor. Event Editors must complete the required Drupal training before receiving access.
This role is right for you if you:
- Manage event listings for your unit’s website or calendar.
- Need to create, update, and publish event information.
- Are responsible for ensuring event details are accurate and follow university web standards.
Event Editors can:
- Create events using the University Event Kuali Form and workflow.
- View, edit, and publish events within their assigned Drupal group(s).
- Publish events to their office’s calendar without additional approval.
Important to know:
- Events submitted to the University Calendar follow a separate approval workflow.
- Event Editors are responsible for keeping event information accurate, timely, and accessible.

Complete the Web Roles & Permissions Request Form to begin the process. Please include which website you're requesting to support and your requested role.
After you submit the Web Roles & Permissions Request Form, you'll be enrolled in the next available Siteimprove Accessibility Fundamentals for the Web training. As part of the course, you'll receive access to the Siteimprove platform, where you can view your website's accessibility, quality assurance, and content insights.
A 100% course completion is required to gain access to your group's Siteimprove data. If your Drupal access request has been approved, completing this training also qualifies you to move on to the next step: Drupal training.
If your Drupal access request has been approved and you've successfully completed the Siteimprove Accessibility Fundamentals for the Web training, you'll be enrolled in the required Drupal training in Canvas.
This self-paced course covers the fundamentals of using Drupal, including how to create and edit content, follow ODU web standards, and apply accessibility best practices. You'll learn the responsibilities of your role, how to navigate Drupal, and how to confidently manage content on your website.
Completion of the Canvas training is required before Drupal access is granted.
