Testing Policies & Procedures

Important Notices:

  • The OEA testing center is open from 8:00 AM-6:00 PM Mon-Fri during the fall and spring semesters, and 8:00 AM-5:00 PM during the summer semester.
  • OEA will not administer tests on a walk-in basis.
  • Instructors are not responsible for providing quizzes, tests, or exams to the Office of Educational Accessibility without receiving an official Test Request from OEA.
  • Any testing that requires an in-person proctor can be scheduled online. Once you complete the form and submit it, you will receive an email receipt.
    • If you are taking your test online outside of the OEA testing center, you should contact your instructor directly to ensure your time is extended in the learning management system that you are required to use.
  • You will have a maximum of double time, per your accommodations, to complete the test. Please ensure that you schedule to begin taking your test early enough that you can complete it by the time the office closes.
  • For test integrity purposes your test request reservation should be at the same time as the class time unless you have another class that conflicts with your double time.
    • You must communicate with your instructor prior to choosing a time to register online to ensure that they approve of the date/time you choose.

Process/Procedures:

  • Check the class syllabus to see when quizzes/tests are scheduled prior to submitting a Test Request.
  • Requests must be made 5 business days in advance.
    • Requests cannot be made online less than 72 hours in advance.
      • To make a late request you will have to call the office.
  • The Coordinator of Testing will e-mail the instructor prior to the date of the test (up to one week in advance) to alert them to your reservation information. The instructor will submit the test to the office.
  • On the scheduled day and time of your reservation, you will come to the Testing Center a few minutes early to check in.
  • The following items are not permitted in the Testing Center unless explicitly permitted by the instructor or the accommodation process (*):
    • Personal Scratch Paper*
    • Cell Phones
    • Smart Watches/Internet-connected devices
    • Bookbags/Purses
    • Personal Laptops
    • Hats/Baseball Caps*
    • Sunglasses*
    • Any other items deemed inappropriate or unnecessary by the instructor or staff
  • Once you have checked in, you will be asked to place your belongings in a designated area then you will be given your test and the instructions that go with it.
  • Once you have completed the test, OEA will return the test to the instructor within a few hours via email.

  • The scheduled time of a requested test in OEA should not deviate from the class's scheduled time unless permission from the instructor has been obtained (written proof may be requested).
  • If circumstances require a student to cancel, reschedule, or make some other change in a testing appointment, this information must be submitted to both the instructor and OEA via email.
  • Failure to follow the above procedures/policies may prevent OEA from being able to administer the test.

  • Students are expected to arrive on time and begin their test as scheduled.
  • OEA will not administer tests to students who arrive exceedingly early or late or on an incorrect day.
  • A 20-minute grace period will be observed. If the student arrives more than 20 minutes late, the instructor will be notified of the student's tardiness.
  • Students who miss a scheduled test must contact the instructor for further instructions. The missed test will not be administered by OEA without written permission from the instructor.

  • Test sessions are proctored by OEA staff and digitally recorded. Instructors may request for this footage to be reviewed by OEA staff or shared with them.
  • Students are expected to abide by the ODU Honor Code while testing in OEA. If any student is found to have violated this code, testing will be stopped, and the instructor will be contacted. Decisions regarding academic dishonesty are not determined by OEA but are done in accordance with University Policy.
  • No items, other than those indicated by the instructor or related to an accommodation, will be allowed in the testing environment.
    • Cell phones and all smart devices are prohibited from being taken into the Testing Center.
    • OEA will supply scantrons and scratch paper; if these items are used, they will be submitted with the test. Book bags, cell phones, and other personal belongings are placed in the Coordinator of Testing's office during test administration.
  • It is a privilege to use OEA's Testing Center, not a right. Failure to comply with these procedures, or violations of the honor code, can result in the student losing the privilege of taking any or all quizzes, tests, or exams in the Testing Center.

  • If your final exam is not listed in your class syllabus, please visit the ODU Exam Schedules page to view the current semester final exam schedule.
  • If your instructor is giving a final exam prior to finals week, you will need to submit a regular Test Request Form, following normal testing procedures.
  • Final Exam testing begins at either 8:30 AM OR 12:30 PM.
    • We use two specific start times to accommodate your 6 hours and to help control the amount of traffic flow in the Testing Center. This information will be conveyed to your instructor in the test request letter they receive.
    • If your final exam is scheduled before 12:30 PM, choose 8:30 AM. If your final exam is scheduled for any time after 12:30 PM, choose 12:30 PM. Our office will close at 6:30 PM each day.
  • Due to time constraints, we do not recommend you take more than one final per day. You are responsible for making sure that you receive your accommodation of up to double the time. Discuss with your instructors an alternative day when you do not have another exam scheduled. If you feel you may be able to complete two final exams (not recommended) in one day, please discuss this with the Coordinator of Testing before submitting your requests.
  • Bring any class materials which are permitted to complete the exam. Our office will supply scratch paper, basic calculators, pencils, erasers, earplugs, blue scantrons, and green scantrons.
  • If you miss the deadline to submit your request online, you will have to call or email the Coordinator of Testing. You must provide the office with the same pertinent information used in the online form.

  • Your instructors will know how to accommodate your needs with testing, but it may be different from class to class.
