As the Kaplan Orchid Conservatory is in high demand by diverse factions with differing needs, categorical guidelines are in place to provide maximum usage and interaction without compromising the integrity of the complex and the plant collections.

Guidelines that apply to all visitors and users of the facility include the following:

  1. No plant material shall be brought in or removed from the facility without prior consultation and permission from the Director or Associate Director. This will sustain an accurate and up-to-date living collections' inventory while guarding against the transfer of harmful pests and pathogens into the complex.
  2. Emergency exits should remain open and clear of equipment, plants, or other materials. Thus, external equipment that needs to be secured in the KOC should not be brought in or housed without prior arrangement with the Director or Associate Director. Deposit of unattended personal items anywhere within the complex is strongly discouraged and items are subject to removal by the Director or Associate Director.
  3. Regular operating hours are 8:00am-5:00pm, Monday-Friday. Key card requests for access will be issued on a review basis and require annual renewal. Student key card access is issued for one year, with the availability of renewal if needed. Requests for key card access should be made to the Director or Associate Director.

Faculty, Staff, Students Working at the KOC:

Requests for plant material for educational purposes, class tours and special usage/tours of research/growing areas should be made to the Associate Director at least one day in advance. Research projects involving outside materials placed within the KOC or in external gardens must undergo prior review and approval by the KOC Advisory Committee. This request should be submitted at least one month prior to the planned start of the project. Usage fees may be implemented for research projects housed in the facilities.

Once a space is assigned, the ongoing condition and care of all materials placed in that area remain the responsibility of the researcher. Assigned areas must be kept neat and tidy at all times. Failure to comply with this standard will result in notification of a need to rectify the condition of the area. Multiple notifications could ultimately lead to a reallocation of the space to others. The potting room, kitchen and bathroom areas must be kept clean and orderly at all times. Note: only one sink in the potting room is designated for preparing and cleaning plant material and related equipment.

Personal guests, including fellow students, are always welcomed as visitors to the display house during its regular open hours but they should not be brought in at other times, or into the work/research areas, without prior knowledge and approval from the Associate Director.

Volunteers Working at the KOC:

Volunteers are greatly valued for their service to ODU and the KOC complex. Members of the faculty, staff and students working with volunteers are expected to assist with ensuring that all volunteers are provided with whatever is needed to perform assigned tasks. The Associate Director should always be made aware of any needs/requests on the part of volunteers.

Please note that personal guests are always welcomed as visitors to the display house during its regular open hours but they should not be brought in at other times, or into the work/research areas, without prior approval from the Associate Director.

Please refrain from bringing in unattended personal items. The kitchen and bathroom areas are available for use. Please maintain their cleanliness.
