Loading Grades





INSTRUCTIONS FOR LOADING GRADES

All grades are to be loaded to students' records using the LEO Online secure self-service web site. Grades loaded to Blackboard are NOT official grades. University policy prohibits releasing grades by e-mail or telephone, and grades should not be posted in a public location. Instructors may not post grades using any portion of students' UIN or SSN.

To load your grades in LEO (please note, the ONLY field you will enter is the GRADE):

  1. Log in to the LEO Online secure area
  2. Select Faculty & Advisor
  3. Select Final Grades (or Progress Report Grades if applicable) 
  4. Select and submit a term
  5. Select and submit a CRN (or enter the CRN directly using the link provided)
  6. Enter grades using the drop-down box next to each student's name. Select only valid grades for level and type of course.
  7. Click Submit to save your grade entries before leaving the page (your work will be lost if you do not SUBMIT the grades). A message will tell you the grades have been submitted. This message will appear only once.
  8. If you have more students, go to the next page of your roster to load their grades. 
  9. If you have more than one course reference number to enter, use the Faculty & Advisor link to select another CRN and follow the steps above. 
  10. You may wish to print a copy of the grade rosters for your records. Check with your department to see if a departmental copy is required.
  11. When you are done, click EXIT on the upper right of your screen to log out of LEO Online, and close your browser.

If a CRN does not appear for a course you taught, you are not coded as the instructor of record in Banner. Notify your department chair so the Scheduling Office can assign you as the course instructor.

Students with "None" in the grade drop-down may be coded with an incorrect grade mode. For assistance, please contact the Office of the Registrar at (757) 683-3623.

UPLOADING GRADES FOR LARGE CLASSES
If you are teaching classes with large numbers of students or that have numerous sections of the same course (e.g., broadcast/videostreamed courses), you can upload the grades through LEO Online, rather than entering them one at a time. See "Banner File Upload" and "Web Grade Menu" for this feature of LEO Online.

GRADE CHANGES
If you make an error or you have recalculated grades, you may change an entry on the Final Grade Roster, as long as the grade has not rolled to academic history (check the "rolled" column for Y/N). During peak grading times, grades are typically rolled several times each day. 

Once individual grades have been rolled you will no longer be able to change a grade on the Final Grade Roster and should use the "Report a Change of Grade" menu option on the Faculty&Advisor page. Certain restrictions apply:

  • You must be the instructor of the course to change the grade
  • You cannot change a grade for a student whose degree has been awarded.
  • "WF" grades cannot be changed in this manner.
  • "I" grades that have been converted to "F" cannot be changed using this feature.
  • Grades changed in "Report a Change of Grade" will NOT be reflected on the Final Grade Roster, but will show immediately on the student's unofficial transcript and/or term grade report.

If you do not see a "CHANGE" option next to a grade and/or need to change the grade again you must submit a written Grade Change Form to the Registrar's Office. These forms are available from your department office. Instructors at distance learning sites should contact the site director for grade change forms.
