Leave policies and procedures for classified employees comply with the provisions of the Policies and Procedures Manual issued by the Commonwealth of Virginia Department of Human Resources Management. The leave policies allow classified employees to take paid and unpaid leave for several reasons, such as vacation, personal illness or family-related matters. These guidelines summarize the policies used to provide these types of leave, record keeping requirements and supervisor's responsibilities.

Leave Record Keeping

The leave record keeping system consists of the Leave Activity Reporting Form (LARF) and, for non-exempt employees, the weekly Time and Attendance Record. The LARF form should reflect leave used on a pay period basis. For non-exempt employees, the Time and Attendance Record is filled out on a weekly basis and maintained by the department. The original copy of the LARF should be sent to the Payroll Office according to their yearly Paryoll schedule. (A memo will be sent to Budget Unit Directors by the Payroll Manager each calendar year listing the due dates for LARF submission.)

Leave Processing

All leave transactions are processed in the Banner Payroll system. The system processes leave in accordance with the state's leave policies and procedures. Banner provides management with leave reports and provides an audit trail of all actions which affect each employee's leave balances. In addition, Banner provides employees with their leave balances each pay period on their paycheck stub.
