Monarch Plus/Meal Plan FAQs

Q:What is a UIN?
A:
The UIN is the University Identification Number - a unique 8-digit number used to identify student and employee records.

Q:What is the format?
A:
The UIN will be EIGHT numeric digits. This will distinguish it from the nine digit SSN.

Q:How do faculty, staff and students get a UIN?
A:
UIN will be generated for everyone (all faculty, staff and students). You may login LEO Online to retrieve your assigned number.

Q:When will ODU begin to use the UIN?
A:
The system conversion to UIN will occur May 8, 2004. Check the LEO Online “news” page to learn how to access or review your May pay stub if employed by the University.

Q:Can I keep my number as my SSN or request a number for my UIN?
A:
No. University Identification Numbers will be computer generated and assigned to you by ODU.

Q:Will all forms be revised from collecting SSN to UIN?
A:Yes. This process will take time as well. Offices may use up current forms with SSN. All forms must be revised by June 30, 2006. There will be forms that require SSN and will continue to collect the number for appropriate purposes (for example, Payroll).

Q:Will assigned UIN’s have an “@” sign?
A:
The “@” designation has been permanently removed. Students and others whose current ID card begins with the @ symbol will continue to retain the same ID number as their new University ID number. Those numbers are not being reassigned. The @ symbol is being removed programmatically and is the only change for students who already have a generated ID number.

Q:What happens if I forget my UIN number?
A:
Log into the secure website, LEO Online with your current ID and PIN (personal identification number). Click on Personal Information and then click on “View University Identification Number” from that menu. If you are an employee, your UIN will display on your pay stub along with your SSN. If you do not have online access, you may drop by the Office of the University Registrar with a photo ID in order to retrieve your ID. Your University ID number (UIN) will display on your new ID card.

Q:Can I ask students to give me their SSN?
A:No. Develop the habit of asking for the UIN right away or get in the habit of performing a name search first. While there will be a period of transition for faculty, staff and students as ODU shifts away from SSN as the main identifier to the UIN, the earlier everyone begins to request and use the UIN, the sooner we will be in compliance with new policy, procedure and state law. Once the conversion from SSN to UIN has occurred, everyone should begin to request and use only the UIN.

Q:Will SSN be on the employee or student record?
A:Yes. It will be available to those employees who need it to perform their work, such as Payroll or Financial Aid.

Q:Can I still use the SSN to view records on Banner Desktop?
A:
Yes. If you key in the SSN, the record will display and the UIN will appear in the ID field on the form. The 8-digit UIN may be keyed into the ID field to display the record. However, the UIN should be your first option when accessing faculty, staff, and student information.

Q:Can students and employees use SSN on the Web access Leo Online?
A:
Yes. You may enter either your UIN or your SSN in the User ID field.

Q:Can I still use SSN when I run reports, list, labels or other tasks that require the student to be identified?
A:
No. You should shift to using the UIN when performing such tasks. If the purpose is to uniquely identify the individual, the UIN is the proper way to do this. All existing Banner reports and requests for data will convert to the UIN once the conversion of records has been made. If you keep separate, manual records of any kind, you should revise them to reflect the UIN as soon as possible.

Q:Do I have to change all my files that now display an SSN?
A:
No. However, you should create all new files using the UIN instead of the SSN.

Q:Can I use SSN to access student information on the Advisor’s web page LEO Online?
A:
Yes, you may key in either the SSN or the UIN. The system will accept either number.

Q:What is the University’s official policy on the use of the new UIN?
A:
There will be an official ODU policy on the use of the UIN. The appropriate officials are currently reviewing it. Look for it to be announced soon on the Office of the Registrar’s home page.

Q:Where do I report problems or issues with an UIN?
A:
Report problems to the Office of the University Registrar at the following E-mail address: register@odu.edu

Q:Where do I report problems or issues with the use of my UIN card?
A:
Report problems to the ODU Card Center at the following E-mail address: cardcenter@odu.edu
